Enhanced Owner Assignment Rules with Granular Note Type Control

Bullhorn Automation now enables administrators to configure Owner Assignment Rules with precision when using the "Note from Active Owner" rule. Instead of being limited to all note types, users can now select specific note actions (Connect, Prescreen, Client Interview, etc.) that should trigger ownership changes. Additionally, multiple note-based assignment rules can be created with different priorities for more sophisticated ownership management.

Why does it matter?

This enhancement allows staffing agencies to align record ownership with meaningful recruiter interactions rather than any system activity. Recruiters can automatically become candidate owners only when performing high-value activities like prescreening or connecting with candidates, while excluding routine actions like leaving voicemails. This refinement ensures the right recruiter receives candidate notifications and maintains ownership of actively engaged talent, significantly improving both recruiter efficiency and candidate relationship management.

Enablement Steps:

  1. Navigate to Settings > Owner Assignment Rules in Bullhorn Automation

  2. Click "+ Add New Rule" and select "Note from Active Owner"

  3. Choose either:

    • Any note type: All notes trigger ownership (default behavior)

    • Only specific note types: Select from the drop-down which note actions should trigger the rule

  4. If selecting specific types, choose one or more note actions from the multi-select drop-down (at least one required)

  5. Set the priority order if you have multiple ownership rules

  6. Click "Save" to activate the rule

The system will automatically process existing records based on your new rules. Multiple "Note from Active Owner" rules can now be created with different note type configurations, each with its own priority in the assignment hierarchy.
